Job Cost & Billing

Introduction

The ToolWatch Enterprise Job Cost & Billing module was designed to help you track job costs and calculate billing charges for tools, equipment, materials, and consumable items.

Billing Browser

The Billing Browser provides visibility into the pending job cost and billing charges for each cost center, it also enable you to calculate and post the charges.

The Billing Browser also enables you to:
  • View details about each transaction
  • Add miscellaneous job cost and billing charges to a cost center 
  • Place specific charges on hold if a dispute or question arises
  • Lock charges from further calculations in preparation for posting
The Billing Browser can be accessed from the Job Cost & Billing navigator tab.

Calculate Window


The Billing Browser will not display transaction charges until they have been calculated. You can calculate the transactions as often as you like, to view the latest charges accrued to cost centers.

To display the calculation window, click on the Calculate button on the menu bar of the Billing Browser window.

Calculation Status


The amount of time required for ToolWatch Enterprise to calculate the cost center charges will depend on the number of cost centers you are submitting, and the number of transactions to be calculated. Most requests are calculated in a few minutes.

You can close the calculation window and return at a later time to view the status of the calcultion requests, or you can click on the Refresh button at the bottom of the window to update the status.

Calculation Status Definitions

Queued

Billing entries have been submitted for processing

Processing

Billing entries are being calculated

Completed

Processing of billing entries has been completed.  If no data was generated, one of the following detailed messages will be presented: 

Completed - But no rate sheet specified

The calculation completed successfully, but no billing entries were generated because there is no     rate sheet associated with this cost center.  You can change this by specifying the rate sheet on the Cost Center detail.

Completed - But rate sheet deleted by user

The calculation completed successfully, but no billing entries were generated because the rate sheet associated with this cost center has been deleted.  If this was by mistake, you can restore the Rate Sheet by finding it in the Recycle Bin and clicking "Reinstate".

Completed - But no transactions in the period

The calculation completed successfully, but no billing entries were generated because there was no billable activity in the specified period.  Examples of billable activity are transfers, retirement, etc.

Completed - But Cut-Off date conflict
The calculation completed successfully, but no billing entries were generated because a calculation cannot be conducted prior to the Cut-Off Date of the last posted calculation for a given Cost Center. You can review the posted billing reports to determine the previous posting dates. To proceed, you can calculate for a different Cut-Off Date (after your last posted date) or contact our support team to request a billing roll back for a set of posted records.

Failed

The ToolWatch platform encountered an error while calculating this Cost Center.  If the problem persist, please contact support.  One of the following detailed messages may be presented:

Failed - Oops, error loading cost center rules
Failed - Oops, error loading Calendar
Failed - Oops, error committing lost found billing entries
Failed - Oops, error loading rate sheet
Failed - Oops, error committing billing entries
